The Fund Administrator provides essential administrative support across multiple teams, primarily Finance and Fund Impact teams, while collaborating with all staff for backup needs. This role ensures smooth operations through accurate data entry, tracking, and coordination of key processes, including fund setups, mail management, and general inquiries.
Key Responsibilities:
Fund Setup Coordination: Manage and coordinate fund setups, including deed creation administration, Adobe Sign processes, checklists, and tracking communications forms.
Administrative Support: Provide backup and support for Finance and Fund Impact teams, including data entry, tracking, and analysis work.
Grant Backup: Learn and act as a backup for granting processes and support the granting team when needed.
Mail Management: Receive, scan, and distribute mail accurately and promptly.
Information Collection: Collect and update grantee information in the CRM system.
Scholarship Tracking: Track scholarships and ensure SINs for T4As are recorded.
Customer Relations: Respond to inquiries, manage the general information inbox, maintain positive customer relations, and resolve issues effectively.
General Duties: Perform other duties as requested, including backup for other staff positions.
Qualifications:
Minimum of two years of office administration experience.
Strong attention to detail and organizational skills.
Ability to work independently and collaboratively in a fast-paced environment.
Clear and concise communication skills.
Proficiency with Microsoft Office Suite; experience with CRM systems is an asset.
Positive customer service attitude and problem-solving ability.
